Thank you for shopping with KOOLIN. This policy outlines our order fulfillment timelines, shipping origin, transit expectations, self-pickup guidelines, Hazmat hazardous materials transport compliance, and geographic exclusions.

1. Order Processing, Fulfillment Origin & Self-Pickup

All orders are fulfilled and dispatched directly from our regional United States warehouse facilities.

  • Shipping Origin: Dispatched from regional US warehouse distribution centers.
  • Carrier Shipping Handling Time: Orders shipping via commercial ground carriers are processed, packaged, and dispatched within 2 business days.
  • Local Warehouse Pickup (Self-Pickup): Orders designated for local warehouse pickup are processed, staged, and verified within 1 business day. Customers selecting self-pickup will be issued an official Self-Pickup Order (Bill of Lading) to present at our designated local facility.

2. Shipping Cost & Transit Time

  • Free Shipping: Complimentary standard ground parcel or LTL freight delivery across the 48 contiguous United States (Continental US).
  • Estimated Transit Time: Standard ground transit is estimated at 2 to 6 business days across the contiguous US.
  • Tracking Synchronization: Official carrier tracking numbers are synchronized and sent via email immediately upon shipment dispatch.

3. 14-Day Return & Exchange Policy

  • Return Window: Returns and exchanges are accepted within 14 calendar days of delivery.
  • Condition Requirements: Returned refrigerant cylinders must be 100% complete, undamaged, and show zero signs of use, valve opening, or compromise.
  • Inspection & Refund: Refunds are processed promptly back to the original payment method after warehouse inspection and verification.
  • Return Shipping Costs: Return shipping postage, Hazmat freight surcharges, and any additional transit fees are the responsibility of the buyer.

4. DOT Hazardous Materials Compliance & Geographic Restrictions

Compressed refrigerant cylinders comply with US Department of Transportation (DOT) Hazmat regulations and are transported exclusively via authorized ground parcel or LTL freight networks. Air transportation is strictly prohibited by federal law.

  • Restricted Destinations (No Shipping): We strictly DO NOT ship to Alaska (AK), Hawaii (HI), Puerto Rico (PR), Guam, the US Virgin Islands, or any other overseas territories.
  • No PO Boxes or Military Mail: Delivery to P.O. Boxes, APO, FPO, and DPO military mailboxes is strictly prohibited by federal hazardous materials transportation regulations. A valid physical street address is required at checkout.
